Virginia Western
is implementing a new online Recruitment Management System (RMS) on January 02,
2007. This web-based system will make applying
for jobs with Virginia Western and with other State agencies easier.

Getting Started
You will need
to have access to the Internet and have a web browser such as Internet
Explorer. You may also want to have a
valid email account. See “Additional
Resources” for a list of free e-mail providers.
Before you
begin, gather all information that you will need to complete a State
Application form.

·
Names,
addresses and telephone numbers of references and previous employers

Electronic
copy of any documents (such as a resume, cover letter, transcripts) you wish to
attach to your application

Creating Your Application

From the Home page, click on Create Application |

If this is
your first time using the system, you will create a User Name and Password. ·
User Name must be between 6 and 20 letters or
numbers. ·
Password – use between 6 and 20 letters or

Click on Continue to Page 1 of Application |

Enter a security
question and an answer |

Click on Save and Continue to Next Page of
Application Result: The system displays the first page of the

Read and
follow the instructions on the screens to complete your application. The process consists of seven separate
“pages” or (web pages) of information.
Each page will also have information that you may need to “scroll
down” to access. To scroll down the
page, use your mouse and the “scroll bar” (or simply press the “Page Down” key on your keyboard. Helpful hint: Do not use the “Back” and “Forward” buttons on the web browser, you may lose data. |

Viewing and Editing Your Application
It is extremely important
that you carefully review and edit your application before you apply for a
specific position. After the application is completed and you have selected the
Confirm button, you may go back to
the RMS Home Page and select the Edit
Application field.

Searching and Applying for Positions
You can search
for a position at anytime, before or after you create an online
application. RMS enables you to search for
a position by role title, location, and by the agency.
To apply for a
job you must make sure that your online application is up-to-date and ready to
submit.

From the Home
Page, click Search Positions |

To view open
postings, enter your search criteria then click on the Search button. |

From the
Search Results web page. Click on the “View” link which is below the Job
Title. |

To apply for
the position click on the Apply for
this Posting button.
Result:
RMS will display the Attach a
Document screen. From this link
you may want to attach your resume and your cover letter. The documents must be in PDF or Microsoft
Word format. Note: If an agency is not accepting online
applications, you will receive the message:
Applicants for this
position must apply with the Agency directly. See instructions for applying
outlined in the job details. |
Attaching Your Document

To attach a document to your
application for this position, click the Attach link next to the type
of document you wish to upload. It is
strongly recommended that you include your name on each document that
you attach. Use black and white documents only and do not include
pictures. To remove a document
from your application for this position, click the Remove link next to
the document you wish to remove. |

Click on Finished Attaching Documents Result:
You will be directed to a Confirm Page |
|
3. |
Confirm.
Click on yes to confirm
that you want to attach the document.
Once you click Confirm and
Finish Attaching Documents, you will not be able to attach any further
documents to your application for THIS position. Result:
RMS gives you a confirmation number.

Verify that
the document has been attached successfully.
Click the VIEW link to
verify that it uploaded correctly. Select Finished Attaching Documents. |
|
5. |
If you are connected
to a printer, print the confirmation number so that you can track the process
of your application and click on OK. If you’re not connected to a printer, write
down the confirmation number and then click on OK. |

6. |
To apply for
the position click on the Apply for
this Posting button. Result:
RMS will display the Attach a Document screen. From this link you may want to attach your
resume and your cover letter. |
Checking Application Status
You can check on
the status of your applications at anytime and any place as long as you have
internet access.
In Progress – The position
is still open and you may or may not be selected for an interview.
Not Hired – You are not hired for this
position.
Position Filled – Another
candidate has been hired.
You can withdraw
from the application process by clicking on Withdraw Application hyperlink.
Note that you will not be able to re-apply for the position after you
withdraw.
Write down your User Name and Password and
file in a safe, secure location.
