Academic and Student Affairs Office

The Vice President of Academic and Student Affairs is Dr. John Capps and his office is located in Fishburn Hall, room 125.  All academic divisions report to Dr. Capps.  Lorry Conklin is the administrative assistant to the Vice President, and the office is open Monday through Friday from 8:00 a.m. to 5:00 p.m.  The telephone number is 857‑7313.

 

Admissions Office

The Admissions Office is located in Chapman Hall, room 108.  Office hours are Monday through Thursday from 8:00 a.m. to 5:30 p.m. and Friday from 8:00 a.m. to 5:00 p.m.  Registration period office hours are Monday through Thursday from 8:00 a.m. to 6:30 p.m. and Friday 8:00 a.m. to 5:00 p.m. For assistance, please contact Meg Patterson, Admissions and Records Coordinator at 857-6327 or Karin Cole, Enrollment Services Specialist at 857 7212.

 

Bookstore

The Bookstore is a vital part of Virginia Western and provides many services throughout the academic year.  The Bookstore's mission is to provide required materials for our students in a timely and professional manner.

 

It is critical that the needs of the students and faculty are met, especially during the peak "rush" periods when school begins.  Textbook orders require weeks for processing, therefore; the book information is required from the faculty at specific times of the year. The book order information is due in the bookstore as follows:

 

Fall Semester-book orders due by April 15th

Spring Semester-book orders due by October 15th

Summer Semester-book orders due by March 15th

 

It is important that the Bookstore and the faculty work together in providing books and educational materials for our students.  Division faculty should determine which textbooks are needed for their classes and generate a book requisition with the required information for each title that is needed.

 

Textbook quantities are determined by evaluating the historical data for each individual textbook when preparing next semester's book order.  Faculty input is required on the estimated number of textbooks needed for each course. The Bookstore then considers the number of textbooks they have in stock, used book availability and last years’ enrollment of the course.  This procedure is repeated for every course.  The book order is then prepared and placed. 

 

Some textbooks are unavailable when orders are placed and some will sell out.  The percentage is extremely low - less than two percent.  Because of the many variables that must be considered, this is almost impossible to prevent.  Some factors that influence this are students adding and dropping classes, sections being added and students obtaining materials from other students.  If a faculty member becomes aware of a shortage of textbooks, they should notify the Bookstore immediately.

 

The Bookstore aggressively shops the market for used textbooks; they are usually discounted 25 percent off new prices.  Before changing a text, ask the Bookstore to check on student price information and place orders on time to allow used books to be located. 

 

The Bookstore's most important service is stocking and selling textbooks.  Accurate and timely information from faculty will help maintain sufficient stock, avoid excessive returns and help keep operational costs as low as possible.

Business Office

The Vice President of Financial and Administrative Services in currently vacant.  The Business Office is located on the first floor (F110) and the second floor (F209) of Fishburn Hall.  The office is open Monday – Friday from 8:00 a.m. to 5:00 p.m., telephone number: 857‑7201.

 

Campus Police 

The Campus Police offices are located within the College Services Building found at the corner of Colonial Avenue and Overland Road.  VWCC Campus Police are fully-certified police officers, and they are first responder trained.  For emergency response, or any other public service need, please call 857-7979.  In addition, there are emergency call stations available on both North and South campus with a direct link to campus police.  These emergency call boxes are located in front of Anderson, Webber, and Chapman Halls, as well as the Humanities/Duncan Hall common area and outside of the College Services Building.

 

(Hall Associates) Career and Employment Assistance Center

Students seeking information on career exploration and employment assistance should be referred to the Hall Associates Career and Employment Assistance Center, Student Center, S202.  For assistance, contact Gary Adkins or Sandra McMinnis at 857‑7298.

 

Cashiers Office

The Cashiers Office is located in Chapman Hall, room 104.  For assistance, contact Gene Harrison at 857-6312 or Linda Sawyer at 857-6311.  The office is open Monday – Friday from 8:00 a.m. to 5:00 p.m.  During registration office hours are Monday - Thursday 8:00 a.m. – 6:30 p.m. and Friday 8:00 a.m. – 5:00 p.m.

 

Counseling Office

The Coordinator of Counseling is Mike Henderson.  The Counseling Office provides academic advising and personal counseling and is located in Chapman Hall, room 105.  The office is open Monday through Thursday from 8:00 a.m. to 5:30 p.m. and Friday 8:00 a.m. to 5:00 p.m.  Registration period office hours – Monday through Thursday from 8:00 a.m. to 6:30 p.m. and Friday 8:00 a.m. to 5:00 p.m.  The telephone number is 857-7237.

 

Distance Learning and Weekend College

Distance Learning is administered through the office of the Vice President of Academic and Student Affairs.  Ramona Coveny, Coordinator for Distance Learning and Instructional Technology, manages the distance learning program and provides faculty with assistance in developing web-based and web-enhanced courses.  Her office is located in Webber Hall Room 210 and her telephone number is 857-6201.  Ms. Debbie Mayo serves as assistant to the distance learning coordinator and her telephone number is 857-6567.  Dr. Carrie Cao is the instructional technologist for the distance learning program and her telephone number is 857-6636.

Office for Dual Enrollment

The Office for Dual Enrollment is located in the Vice President's Office complex on the second floor of Fishburn Hall or room 125.  Mr. William Salyers, Jr. is the coordinator of dual enrollment activities between area high schools and the college.  The office is open Monday through Friday from 8 am to 5 pm.  The telephone number is 857-7235.  Ms. Pam Conner provides assistance to Mr. Salyers, and she may be reached at the same number.

 

Educational Foundation

The Virginia Western Community College Educational Foundation, Inc. is located in Fishburn Hall, room 214, in the Office of Institutional Advancement.  Ms. Kay Strickland is the Executive Director.  The mission of the Foundation is to enhance the community's awareness of the college, secure funding for student scholarships, program and faculty development and capital projects.  Office hours are 8:00 a.m. – 5:00 p.m. and the telephone number is 857-7312.

 

Facilities Management Services

Facilities Management Services (FMS) is located in the College Services Building.  The Director of Facilities, Planning, and Development is Kevin G. Witter.  Facilities management is composed of Trades (maintenance and repair) and Buildings and Grounds (Grounds, Mailroom, and Housekeeping Services).  Requests for service should be submitted to your Division Office for input on the VWCC electronic work order system.  Typical requests would include maintenance, repair, or housekeeping issues.  FMS also provides scheduling of facilities for non-curricular events.  FMS office hours are 7:30 am to 4:30 pm, Monday through Friday at 584-7341.

 

Financial Aid Office

The Financial Aid & Veterans Affairs Officer is Ms. Carol Sliver.  The Financial Aid Office is located in Chapman Hall, room 106.  Financial aid programs available include federal and state funded grants, work-study programs, scholarships, and loans.  The office is open from 8:00 a.m. to 5:30 p.m.; Monday - Thursday, and 8:00 a.m. - 5:00 p.m. on Friday.  During registration period, office hours are Monday - Thursday 8:00 a.m. to 6:30 p.m. and Friday 8:00 a.m. to 5:00 p.m. The telephone number is 857‑7331.

 

Grants Development and Special Projects
The Grants Development and Special Projects Office is located in Fishburn Hall, room 214, in the Office of Institutional Advancement.  Ms. Marilyn Herbert-Ashton, is the Coordinator.  The mission of the Grants Development and Special Projects office is to advance Virginia Western Community College's emerging initiatives that are aligned and consistent with the goals of the college.

 

The Grants Development and Special Projects Office, a division of Institutional Advancement, works in partnership with Virginia Western Community College administration, deans, faculty, and classified staff to secure external funding for curricular, program related and special projects.  The telephone number is 857-6372.

 

Institutional Research and Planning

The Director of Institutional Research and Planning is currently vacant.  The office is located in Brown Library, room B105 (telephone 857-7942).  This office is responsible for institutional research, strategic planning, program evaluation, and student assessment.

 

International Education/International Students

Mr. Mike Henderson, Coordinator of Counseling provides information and assistance related to counseling, International Education and F-1 student visas.  His office is located in Chapman Hall, room 105.  Office hours are Monday, Wednesday and Friday 8:00 a.m. to 5:00 p.m. and Tuesday and Thursday 10:00 a.m. to 7:00 p.m.  The telephone number is 857‑6104.

 

Learning Technology Center/Brown Library

Mr. David Hillman is the Director of Learning Resources, which includes Brown Library and the Learning Technology Center.  These service areas are located on North Campus in the Brown Library building.  His telephone number is 857-6244.

 

The Learning Technology Center is located on the ground floor of the Brown Library building.  The Learning Technology Center hours are listed below.  For assistance, contact the LTC supervisor, Nancy Cook at 857-7250.

 

The Knisely Learning Technology Center serves the college in several ways.  It is the main campus testing center. The Center gives placement tests for new students, and test facilitators administer and monitor distance tests and make-up tests and proctor off- campus tests. Additionally, the Knisely Center is the resource center for supplementary instructional assistance for students.  Tutorial assistance, computer-assisted learning, and video-assisted learning are available for students in many subject areas. Tutors are available in the Math Center and the Writing Center for day and evening students.  Jamie Spradlin, the CTE Tutor Coordinator will be available to match qualified students for individual tutoring sessions in classes where they are experiencing academic difficulty.  She may be reached at 857-6442.  A Study Skills Specialist will be available by appointment to assess learning preferences and to help with study techniques. An open computer lab provides a variety of microcomputer software and tutors who can assist with basic computer skills.

 

Learning Technology Center Hours:

Testing:  Monday - Thursday  8:00 a.m. –  8:00 p.m., Friday 8:00 a.m. –  5:00 p.m. and Saturday 9:00 a.m. – 1:00 p.m. Doors close in the Testing Center a half hour before the Center closes preventing students from trying to take a test in the last half hour.

Tutoring: Monday – Thursday 8:00 a.m.–7:00 p.m., Friday 8:00 a.m.–4:30 p.m.

Computer Lab: B17/18:  Monday – Thursday 8:00 a.m. – 8:00 p.m., Friday 8:00 a.m. – 5:00 p.m. and Saturday9:00 a.m.  1:00 p.m.

 

Brown Library is open Monday through Thursday from 7:45 a.m. to 9:30 p.m. (summer - Monday through Thursday from 7:45 a.m. – 9:00 p.m.); Friday from 7:45 a.m. –
